What we collect when you get in touch, why we need it and what we do with it. Written in plain language, because you should not need a lawyer to read it.

We are a family business and we treat your information the way we would want ours treated. This page explains what we collect, why we need it and what we do with it, in plain language.
When you fill in the enquiry form on this site we ask for your first and last name, phone number and email address. You can also give us your company name, street address, suburb and postcode, the service you are after, how you heard about us and a description of the job. You can attach photos, plans or documents if that helps explain the work.
When you phone, email or message us we keep a record of the conversation and the details you give us about the job and the property.
While we are working for you we keep job records: quotes, invoices, site notes, safety paperwork and photographs of the work.
When you visit this site some information is collected automatically. That includes your IP address, the device and browser you are using, the pages you look at and how you arrived. It comes from our website analytics and from our hosting provider's server logs.
To give you an estimate and a written quote, to do the work and keep you informed while it is underway, to invoice you and keep our accounts straight, to meet our safety and record-keeping obligations, and to get back in touch if you have asked us to. If you tell us how you heard about us, we use that to work out which of our efforts are actually helping.
We do not sell your information, and we do not use it for anything you would not expect from a carpenter you have asked for a quote.
We use a small number of providers to run the business and your information passes through them: Ascora for job management and quoting, Lana Software for our client records and the enquiry form on this site, Xero for invoicing and accounts, Netlify for hosting this website, Cloudflare for delivering parts of it, and Google for website analytics and fonts. Each of them handles information under its own terms and privacy policy.
Some of these providers store information on servers outside Australia, including in the United States. By sending us an enquiry you accept that your information may be held overseas.
If your job needs a trade we coordinate rather than carry out ourselves, such as a painter, plumber, electrician or plasterer, we pass on what they need to do the work. That is usually your name, address, contact number and the job details, and nothing more.
We will also disclose information where the law requires it, for example to a regulator, an insurer or a court.
This site uses Google Analytics to count visits and see which pages people find useful. It sets a cookie in your browser and tells us things like which pages you looked at, how long you stayed and roughly where in the world you are. It does not tell us who you are.
There is also a chat widget on the site, provided through Lana Software. If you start a conversation in it, we keep what you send us the same way we keep an email.
You can block or delete cookies in your browser settings, or install Google's own analytics opt-out add-on. The site will still work.
We keep enquiry details while there is a reasonable chance we will do work for you, and job records for as long as we need them to stand behind the work. Some records we are required to keep for at least 7 years under Australian tax and company law. When we no longer need information we delete it or strip out anything that identifies you.
We photograph our work for quoting, job records and safety paperwork, and sometimes for this website or social media. We will not publish your name or your street address alongside a photo without asking you first. If you would rather we did not photograph your property at all, tell us and we will note it on the job.
Your information sits in the systems listed above, each behind its own login, and access is limited to the people in our team who need it to do their job. No system is completely secure. If something goes wrong we will tell you, and we will take it seriously.
You can ask us for a copy of what we hold about you, ask us to correct it, or ask us to stop contacting you. Email hq@jfm.net.au or call 0483 959 285 and we will sort it out. We may need to check who you are first. If we cannot give you what you have asked for, we will explain why.
Get in touch with us first and give us the chance to put it right. If you are still not satisfied you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.
